Terms & Cancellation Policy
Last updated: September 2026
Health & Readiness
- All new clients must complete a health questionnaire (PAR-Q) and consent form before their first session.
- Clients must inform their trainer of any injury, illness, medication, pregnancy or change in health before each session. Where appropriate, GP clearance may be requested before training begins or resumes.
- Clients train within their own capabilities and must tell their trainer immediately if they feel pain, dizziness or discomfort.
Payments
- Monthly session packages are billed monthly in advance. Session packs and single sessions are paid in full before the session(s). You only pay for your PT sessions; no gym membership is needed, as gym access is included.
- Sessions are only booked once payment has been received. Missed payments may result in sessions being paused.
- All fees are non-refundable and non-transferable to another person, except where stated in this policy or required by law.
- Prices may be reviewed periodically. Existing clients will be given at least 30 days' notice of any price change.
Session Packs
- Sessions must be used within the validity period stated. Unused sessions expire at the end of this period and cannot be refunded.
- Extensions may be granted at the trainer's discretion for injury or illness (supporting evidence may be requested).
Monthly Session Packages
- Monthly session packages have a 3-month minimum term, after which they continue on a rolling monthly basis.
- To cancel after the minimum term, 30 days' written notice (email or message) is required.
- Sessions included in a month must be used within that month. Up to 2 sessions missed with proper notice may roll over to the following month only.
- Monthly session packages may be frozen for holidays or illness for up to 4 weeks per year, with at least 7 days' notice.
Session Conduct
- Sessions start and finish at the booked time. Late arrival by the client will not extend the session.
- If the trainer is late, the missed time will be added to the session or credited to a future session.
- Clients should wear suitable clothing and footwear, bring water, and have eaten appropriately beforehand.
- Clients must follow the rules of the facility where the session takes place.
Liability
- Clients participate in exercise voluntarily and at their own risk. The trainer holds appropriate qualifications and insurance but cannot be held responsible for injury resulting from undisclosed medical conditions or failure to follow instructions.
- Results depend on many factors including attendance, nutrition, sleep and lifestyle, and cannot be guaranteed.
- Personal belongings are the client's responsibility.
Privacy
- Personal and health information is kept confidential, stored securely, and used only to plan and deliver training, in line with UK GDPR. See our Privacy Policy for more detail.
Cancellation Policy
- 24 hours' notice is required to cancel or reschedule a session.
- Sessions cancelled with less than 24 hours' notice, or missed without notice, will be charged in full / deducted from your pack or monthly session package.
- Late cancellations due to genuine emergencies will be considered at the trainer's discretion.
- Clients arriving more than 15 minutes late without notice will be treated as a no-show, and the session will be charged.
- If the trainer needs to cancel, at least 24 hours' notice will be given where possible, and the session will be rescheduled or credited at no cost.
- Cancellations should be made by text, WhatsApp or email so there is a written record.
By booking and paying for sessions, clients confirm they have read and agree to these Terms & Conditions and the Cancellation Policy.
